SUMMARY

Perform professional administrative and staff support for executive leadership team to ensure operations run efficiently.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Manages and maintains schedules, coordinates and organizes various meetings, conferences, teleconferences and travel.
  • Prioritizes, compiles and distributes various correspondences.
  • Receives, screens and responds to incoming calls and messages.
  • Composes, proofreads and finalizes correspondences, memorandums, reports, meeting minutes and presentations.
  • Enters purchase requisitions and expense reports into database.
  • Maintains professionalism in handling confidential/sensitive information for executive leadership team.
  • Communicates with all levels of the organization as well as external parties.
  • Maintains office supplies, office equipment and filing systems.
  • Participates and contributes to special projects.
  • Performs other job-related duties as assigned.

SUPERVISORY/MANAGEMENT AUTHORITY

No supervisory/management authority.

EDUCATION AND EXPERIENCE

Associates degree in business or related field and 5 years of administrative experience or an equivalent combination of education and experience.

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong interpersonal skills with the ability to work in a team setting.
  • Excellent written and verbal communication skills.
  • Ability to adapt to changes, manage competing demands and deal with frequent changes, delays, or unexpected events.
  • Ability to proactively anticipate needs/priorities and respond accordingly.
  • Ability to prioritize work schedule and function with minimum supervision.
  • Ability to maintain confidentiality and display integrity, accountability and respect in dealings with internal and external customers.
  • Knowledge of Microsoft Office products and office/business procedures and equipment.
  • Excellent project management and organization skills, including the ability to handle multiple complex projects simultaneously against deadlines.
  • Ability to maintain a positive professional working relationship with management and coworkers.
  • Must have and maintain a valid driver’s license.

WORK ENVIRONMENT

Work is primarily performed in a climate-controlled office setting.  Work may require travel.
